At Hayth AI, we respect the privacy of our clients, website visitors, and the individuals whose information may be processed through the systems we design, build, and operate. This Privacy Policy explains how we collect, use, protect, and process information when you use our website and services.

Hayth AI provides AI automation, custom software, AI-powered applications, workflow automation, systems integration, AI agents, AI sales development systems, voice agents, and related engineering services. Depending on the engagement, we may process information on our own systems, on systems we operate for a client, or within a client's existing environment.

By using our website or engaging our services, you acknowledge this Privacy Policy. If you do not agree with this Policy, please do not use our website or submit information to us.

Information We Collect

The information we collect depends on how you interact with Hayth AI. We may collect information directly from you, automatically through our website, or from client systems when we are engaged to design, build, operate, or support a solution.

Information you provide

  • Name, email address, company name, and preferred contact method
  • Project descriptions, requirements, files, and other information submitted through our website, email, or messaging channels
  • Business details needed to understand a workflow, process, or technical environment
  • Communications with us, including inquiries, proposals, contracts, and support requests

Information processed during a project

  • Operational, customer, lead, call, CRM, or workflow data that a client asks us to process as part of a system we build or operate
  • Technical information about existing tools, APIs, databases, and internal processes
  • Source code, documentation, credentials, and configuration details that a client provides so we can perform the work

Information collected automatically

  • Device, browser, and usage information such as pages viewed, referring URLs, and approximate location derived from IP address
  • Log data and diagnostic information related to the operation, security, and performance of our website and services

Source Code and Intellectual Property

Clients may provide source code, repositories, technical documentation, product designs, and other intellectual property so that we can build, review, integrate, or maintain software.

  • Client source code and related intellectual property remain the client's property, except where a written agreement states otherwise
  • We use client source code only as needed to perform the agreed work
  • We do not use client source code to train public AI models
  • We do not treat client source code as our own product, dataset, or marketing material
  • Access to repositories and codebases is limited to the people who need it to deliver the engagement

Any tools, libraries, templates, or internal methods that Hayth AI independently develops may remain Hayth AI's intellectual property unless a written agreement assigns them to the client.

Access to Client Systems

Some engagements require access to a client's existing software, infrastructure, or accounts. We request only the access needed to diagnose, design, build, integrate, deploy, or support the agreed system.

  • Access may include CRMs, inboxes, telephony platforms, databases, cloud dashboards, internal tools, and related business systems
  • We use client systems only for the purpose of the engagement
  • We do not use client systems for unrelated sales, marketing, or product development
  • When the work is complete, we remove, return, or disable access according to the engagement and the client's instructions

Where possible, we prefer limited, role-based, or revocable access rather than unrestricted administrator credentials.

Passwords, API Keys and Credentials

Clients may provide passwords, API keys, tokens, certificates, or other credentials so we can connect systems, deploy software, or operate an integration.

  • Credentials are used only to perform the agreed work
  • We do not share credentials with unauthorized people
  • We do not store credentials in public repositories, client-facing websites, or unsecured documents
  • We prefer client-managed secrets, environment variables, and least-privilege keys wherever practical
  • When credentials are no longer needed, we delete, rotate, or return them according to the engagement and the client's instructions

Clients remain responsible for rotating credentials after an engagement if their internal security process requires it.

AI Agents and AI SDR Services

Hayth AI may design, build, or operate AI agents and AI sales development systems that source leads, send outreach, qualify prospects, manage pipelines, or help move conversations toward meetings.

Depending on the system, this work may involve processing:

  • Names, job titles, company names, email addresses, and other professional contact details
  • Lead, campaign, outreach, reply, qualification, and meeting information
  • Conversation content, notes, and status updates generated during outreach or follow-up
  • Prompt, workflow, and decision-log information needed to operate the agent

AI agents and AI SDR systems are configured around the client's use case. We do not use one client's lead lists, outreach content, or pipeline data to operate another client's system.

Voice Agents and Call Data

Hayth AI may design, build, or operate AI voice agents, phone agents, and call-intelligence systems that handle spoken conversations, transcribe calls, detect intent, or extract follow-up actions.

Depending on the engagement, we may process:

  • Call audio, recordings, and live or stored transcripts
  • Caller numbers, timestamps, duration, routing, and call-outcome information
  • Intent, qualification, booking, and summary data derived from a conversation
  • Voice-agent configuration, prompts, and operational logs

Call recording, transcription, and related processing are performed only as part of the agreed service and in accordance with the client's instructions. Clients are responsible for any notices, consents, or legal requirements that apply to recording or monitoring calls in their jurisdiction.

CRM Integrations

Some systems we build connect to a client's CRM or similar operational software so that leads, properties, conversations, tasks, and follow-ups can move between tools without unnecessary manual work.

  • We access CRM data only to the extent required for the integration or workflow
  • CRM records remain the client's records
  • We do not sell CRM data
  • We do not use one client's CRM data to benefit another client
  • Sync behavior, field mapping, and retained copies are defined by the engagement

How We Use Information

We use information to operate our website, deliver our services, and communicate with you. This includes using information to:

  • Respond to project inquiries and communicate about potential or active work
  • Understand business requirements and design, build, deploy, and support systems
  • Operate AI agents, automation, voice systems, integrations, and related software for a client
  • Provide support, maintenance, monitoring, and improvements requested as part of an engagement
  • Protect the security, integrity, and availability of our website and services
  • Meet legal, accounting, contractual, and record-keeping obligations

We do not sell personal information. We do not use client project data as a public training dataset.

Data Security

We take reasonable administrative, technical, and organizational measures to protect information against unauthorized access, alteration, disclosure, or destruction.

  • Access to client information is limited to people who need it to perform the work
  • Credentials, source code, and project files are handled through controlled channels rather than public posting
  • We use secure transmission and access controls appropriate to the nature of the engagement
  • We review access when an engagement changes, ends, or no longer requires a particular system

No method of transmission or storage is completely secure. We cannot guarantee absolute security, but we work to reduce risk and to respond promptly if a security issue is identified.

Employee and Contractor Access

Hayth AI team members and, where needed, carefully selected contractors may access information in order to deliver a project. Access is limited to what is required for their role.

  • People who receive access are expected to handle information confidentially
  • Contractors are used only when needed for the engagement
  • We do not provide client data to contractors for unrelated purposes
  • Access is removed when it is no longer required

Data Retention

We retain information only for as long as needed to provide our services, complete an engagement, meet legal or accounting requirements, or resolve disputes.

  • Inquiry and communication records may be kept as part of our business correspondence
  • Project files, credentials, and system access are retained for the duration of the engagement and then removed, returned, or disabled according to the client's instructions and our operational needs
  • Logs and diagnostic data may be kept for a limited period to support security, reliability, and troubleshooting

When information is no longer required, we delete it or take steps to de-identify it, unless a longer retention period is required by law or a written agreement.

Third-Party Services

We may use third-party tools to host our website, send email, store files, deploy software, provide infrastructure, or operate parts of a client system. Those providers process information only as needed to supply their service.

A client system may also connect to the client's own third-party products, such as CRMs, telephony platforms, inboxes, or cloud services. Those products are governed by their own terms and privacy policies.

We are not responsible for the independent privacy practices of third-party services that we do not control.

Cookies and Analytics

Our website may use cookies or similar technologies that are necessary for the site to function, remember preferences, or understand how the site is used.

  • Essential cookies support core website operation
  • Analytics information, if used, helps us understand traffic and improve the site
  • We do not use website cookies to sell personal information

Client Responsibilities

When Hayth AI processes information on a client's behalf, the client remains responsible for the lawfulness of that information and for the instructions they give us.

  • Providing information they are authorized to share
  • Obtaining any consents, notices, or legal bases required for their use case, including call recording and outreach where applicable
  • Configuring their own accounts, permissions, and customer-facing disclosures
  • Telling us promptly if access should be changed, limited, or revoked

Confidentiality

We treat non-public client information as confidential. This includes source code, credentials, system architecture, business processes, and project materials that are not already public.

We do not disclose confidential client information except:

  • To people who need it to perform the engagement
  • To service providers who support our operations under appropriate confidentiality obligations
  • When required by law, regulation, or legal process
  • With the client's permission

Data Breach and Security Incidents

If we become aware of a security incident that affects personal information we hold or process, we will take steps to contain the issue, assess the impact, and notify affected clients as required by law and any applicable agreement.

Notification will include the information we can reasonably provide at the time, without compromising the investigation or creating additional security risk.

Children's Privacy

Our website and services are intended for businesses and adults. We do not knowingly collect personal information from children.

International Data Processing

Hayth AI may process information in the country where you are located and in other countries where we, our team, or our service providers operate. Those countries may have different data-protection laws from your own.

Depending on your location and the nature of the processing, you may have rights to request access to, correction of, or deletion of personal information we hold about you, or to object to or restrict certain processing.

To make a request, email info@hayth-ai.com. We may need to verify your identity before fulfilling the request. If we process information solely on a client's behalf, we may direct you to that client so the request can be handled in the correct system.

We may update this Privacy Policy from time to time. When we do, we will change the effective date at the top of this page and post the updated Policy on our website.

The updated Policy applies from the effective date. Continued use of our website or services after an update means you acknowledge the revised Policy.
